She would like to extend the deadline for the youth nominations. Kara Griffin believes that this is great for juniors looking to add items to their college application. Lt. Roy Bain mentions extending just the youth award and continue to go through the adult and lifetime awards. Mr. Rhein would like them all to be done at the same time; for the banquet. Lt. Bain would like the window to be short. Ms. Murphy doesn't believe more than two weeks would be required. Rose Kimmel doesn't find an issue with this. Ms. Griffin agrees there are no issues with this and the committee can still utilize this time to go through the adult and lifetime nominations. Ms. Murphy asks if Chris George can provide the nomination form by the morning. Mr. George will send it tonight. A date is discussed to meet next. January 301h at 7:OORm is agreed upon. *Motion made to extend the youth category deadline to January 28°i made by Ms. Griffin, 2nd by Lt. Bain asks if the nominations are limited to the submitted forms or if they're also allowed to use widely used knowledge. Mr. Rhein doesn't believe that bias should be included in the decision process. Ms. Griffin believes there should be definite criteria; to avoid this bias. Mr. Rhein says that during the next meeting each member should provide a choice. Lt. Bain also mentions that if 7-8 people are nominating the same person; this doesn't necessarily dictate a large impact to the community but could be more connected to a social media style push. Lt. Bain asks if the school has any kind of objective scoring method available. Ms. Murphy says no. Ms. Murphy mentions some items to be weighed are time, impact, and variance of contribution. Ms. Griffin asks if we can get a clearer copy of one of the submissions. Chris George will outreach to the original submitter. Ms. Murphy says some people may find the judging process difficult due to people being involved in multiple aspects of the Town and asks if, for next year, names be redacted. The committee agrees it should move towards a more anonymous method. 10/24/2018 Discussion on whether to accept a late lifetime submission: Mr. Rhein believes we should not accept it since there was a deadline for a reason. Ms. Griffin mentions there is already a nomination form for this particular person. Lt. Rhein mentions there is also a submission for a group, as well. He says this should also be rejected. *Motion to exclude the late lifetime nomination made by Ms. Murphy, 2"d by Lt. Bain VOTE 5-0 PASSED Criteria decided on: -Time commitment for that calendar year -Tangible impact on community -Must be an individual and -Volunteer who serves the Mansfield Community The voting process is discussed. Mr. Rhein believes we should vote individually first. Ms. Griffin asks if we can still have a discussion before final voting takes place. The committee agrees to this. Mr. Rhein offers the choice of Ranked Choice Voting. Lt. Bain agrees with this option; as well does Ms. Griffin. Chris George offers to build an excel worksheet for the committee to work on, individually, before the next meeting. Mr. Rhein says after the next meeting there will be winner selections and it will just be a matter of getting it onto the Select Board meeting agenda. Y ~Trmefinechedalitig oiuw"at ds ceremxtn Mr. Rhein Rhein discussed having it at a restaurant outside of Town Hall but Nancy Griffin has suggested holding it before a Select Board meeting with family, Select Board, and the Town present. The meet and greet would be before the actual Select Board meeting; with the award ceremony occurring during the meeting itself. S'emTotTnown,ASianrs'rortolleting,, .::; ,.
