Others present: Ed Donoghue, Assistant Superintendent, Finance and Operations
Matt Jacques, Director of Facilities
Minutes
The minutes of the January 30, 2018 meeting were approved, 2-0.
Facilities Staffing Update
Matt gave an update on the hiring/search for the Supervisor of Custodian position. He and Ed have identified a finalist and
are waiting to hear back from their top candidate. Should the top candidate decline the offer, Matt and Ed will decide
whether to consider another candidate from the first search or to re -open the search. Other reorganization plans are
moving along, and the department is looking ahead and already planning for summer operations.
Building Reports
Matt reported there were no major concerns at the various buildings. The weather has caused some challenges with
athletic fields and scheduling practices for the start of the spring athletic season, but snow seems to be melting and
hopefully the fields will start drying out. The Facilities Department is also planning for the New England Folk Festival
(NEFFA), which will be held on April 20-22 at MHS and QMS, during school vacation week.
Matt and Ed outlined the next steps to address the water testing results. Facilities initially will be replacing one fixture at
Robinson and one fixture at QMS. The water coming through those new fixtures will be tested to be sure the copper and
lead levels are under the actionable limits. Matt expects to have these fixtures installed and the water testing done by late
April. He noted that the water filtration stations need to be delivered by ground transportation, not shipped, which adds to
the timeline. The time frame for the water test results is 2 weeks. If the results come back showing acceptable levels, Matt
will move ahead with having additional fixtures installed to address the needs in each building; that work would take place
over the month of May. The water stations and installation will cost approximately $3000/fixture. The group discussed the
need to establish an on-going process of testing the water and building the cost of that testing and the cost of the filters for
the water filtration stations into the operating budget. It was suggested the buildings be tested on a rotating basis. Matt
and Ed will discuss further.
Facilities Policies
ECBD Inspections - Buildings and Grounds
The wording of the policy and the reason for the policy was unclear, and the consensus of the group was to recommend
deleting this policy from the manual.
EEAJ Motor Vehicle Idling
Lynn explained that state regulations require specifications for the "no idling' signage and that we need to add that
information to our existing policy, based on recommendations from MASC. Matt is going to look at signage in each building,
building by building. Matt and Ed discussed the need to remind Facilities staff and the Special Ed van drivers of the "no
idling' requirements.
FA & FA -E Facilities Development Goals
The group reviewed the recommended changes from MASC; no objections to the new wording were raised. Lynn will send
all three policies to Teresa to review and will ask Diane to add these policies to the School Committee agenda for April 10.
Facilities Rental Agreement, Policy, and Fees

Mansfield School Committee
Facilities Subcommittee Meeting
Minutes for Wednesday, March 28, 2018
Superintendent's Office
Matt has begun reviewing the rental agreement for changes/revisions. Matt and Ed have reviewed the facilities rental fees
and compared them to surrounding districts and outlined proposed changes. The group set April 25 as its next meeting
date, with the intention to complete the revisions to the rental agreement, policy, and fees by then, so that these could be
included on the May S School Committee agenda.
Upcoming Agenda Items
The group will review the playground safety report. Jenn suggested the group also schedule a walk-through of the district
playgrounds, and Lynn suggested looking into developing a playground preventative maintenance checklist similar to what
some other districts have in place, and also look into developing a safety/security preventative maintenance checklist with
the help of the MPD.
The next subcommittee meeting will be Wednesday, April 25 at 3:45 p.m.
Meeting adjourned at 4:49 p.m.
Respectfully submitted,
Lynn Cavicchi
Vice Chair
