Burke, Director of Planning and Development MANSFIELD Walter Parker and Ed Vozella, School Department M A S S A S H U S E T r S 1. November 8, 2011 Minutes Motion: To approve as amended (Ratliff -Trowbridge) All in favor. PASSES explained the School Department's requests. 1. Completion of track and field. Mr. Vozella explained the $310,000 approved at the 2011 Annual Town Meeting will not be sufficient to complete the job. Mr. Parker explained the job will be bid by January 2012 and construction will begin by June 2012. The track's synthetic surface construction will come in higher than anticipated. The track will be higher because it must be reconstructed/regarded, not just resurfaced. They will not know the total until the bids are in, but it will be over the projected budget and the department will need a second allocation from 2012 Amoral Town Meeting. 2. Roland Green crawl space asbestos removal - $23,000 3. MHS Telephone System — approximately $125,000, but the final cost is unknown. The new system is needed because there are not enough lines. The committee discussed a joint project for a Voice Over IP system. It should be noted that does not include 911 systems. The committee also discussed switching to virtual servers. 4. MHS Gym Floor- $175,000. The floor is buckling and will have to be removed and replaced with a new wooden floor. There is no ventilation system under the floor, so it appears moisture is causing problems. 5. Cameras at Robinson School - $35,000 6. Robinson Window Replacement - $375,000 has already been allocated, and they will need a second allocation to finish the job, which is being done in phases. The one-story wing is the first phase, and the two-story wing will be the second. The committee discussed why this project has been delayed. Discussion centered around the age of the cost estimate, the need to bring an architect on board and to get new bids. 7. SPEDD Bus - $58,000 8. QMS Cafeteria Tables — Mr. Vozella said he would provide a hard number 9. QMS Auditorium Roof - $200,000 10. QMS Furniture — Mr. Vozella said he would provide a hard number 11. Replace Stage Vent - $200,000 12. PC Replacement — Mr. Vozella said a significant acquisition has been made within the School Department's operating budget. 13. Smart Board - Mr. Vozella said a significant acquisition has been made within the School Department's operating budget. 14. Servers — the School Department has received one server as a gift and will discuss virtual servers. Mr. Parker explained the bids on repointing the Roland Green brick work are due on November 23, 2011 and are expected to come in at less than had been anticipated. Mr. Parker explained the Jordan -Jackson chiller needs $25,000 in repairs, but the Trane engineer has suggested replacing it for $150,000 rather than repair the old chiller. The committee discussed the fact that once funded, all capital items must be undertaken unless town meeting votes otherwise. If a project comes in under what was funded, the unspent balance may be used on another project if necessary. The committee discussed the bid process and cost estimating process. Mr. Parker told the board the caulking around the windows at the Robinson School has tested positive for asbestos, but has not been tested for PCBs yet. Mr. Vozella said he would provide the committee with numbers by the end of next week to replace the "TBD" items on his spreadsheet. Motion: To adjourn at 7:10 p.m. in favor.
