The Commission would like to make sure the Mission Statement is expressed to Jerry Tulis and the Board. The Commission would like to have a concrete Mission State- ment. The Commission feels they would like all the criteria of the Mis- sion Statement be met, or the program will not be turned over to MYB. It takes money to have the a program run correctly. Meeting the criteria set up by the Commission. This is an essential aspect of having a program director. Commission would like the program director to have a "program guide" with everything that has to be carried out. The Commission hopes to show the Board the benefits of having a direc- tor. Everyone at the upcoming meeting of the MYB will have a copy of these guidelines. These guidelines/criteria will be transferred to the Mission Statement. We have to make sure the the MYB (Key People) "buys into" these conditions before the public meeting. We want them to un- derstand we have a strong concern regarding the above. We are represent- ing their interests. The Commission would like to meet with the 4 key people before the public meeting. The more volunteers for this program the better. The program director will work with them. Commission would like to schedule a meeting for March 20, 1995. Lorilee feels #1-5 in the letter could be the Mission Statement. Commission would like an outline of the structure of the program at present. Guide them their first year and we would still keep the financial end of the program. Lorilee will lay out the outline and rewrite the letter to Jerry Tulis. There was a problem getting the Commission's point across regarding the basketball discussion. Ron motions not to accept the minutes of February 27, 1995 until the basketball section is rewritten. Betty seconds the motion. All in favor. TABLED: Voice Mail - Kristen spoke to several different people. The programs they offer sound very expensive. Kristen suggested proposing the NYNEX system to the Town Manager and maybe the entire Town Hall could benefit from this system. Lorilee stated we cannot buy it at this time, it would be a Line Item. The initial cost would be approximately $ 5,000 to $ 6,000. Commission feels this on-site platform is the way to go. It would be better if we share it with the Town Hall. Maria sug- gested tying in with the School System's voice mail. Lorilee will call Bob Guerek to see if we could tie in with the school system. our main objective is to cut down on the interruptions in the office. We will look into the platform that the school uses, if that doesn't work we will look into NYNEX. We could combine all the adult program to one box, children's programs to another, etc. Garage Sale - We need to get solid figures on the magnets. BUSINESS: Ice Technology - A copy of the memo from Susan Jacobs was sent to all the members. Bob Mangeratti and Doug Ronald have assured Lorilee that they are researching what would be the dollar amount, if any, if we try to "settle" the suit. Nothing has been decided yet. The Commission would be contacted by the Board of Selectmen and/or Bob before they proceed. They are not sure if it should go to trial. Lorilee has not seen any figures. Commission would like reimbursement for the chemicals and the overtime spent. Bob and/or Selectmen will get back to us. They will consult the Commission regarding the facts of this case. We feel we have a good case. Lorilee doesn't know what expenses have been to this point. We cannot include lawyers fees in the settlement. Fees for the Summer Programs: Garage Sale: In 1992 the cost per space was $ 10.00. There are 74 spaces available this year. The money goes into the Revolving account. Elks Club provides the refreshments. There is music. Tom Motions to raise the fee to $ 20.00 per space. Maria seconds the motion. ALL IN FAVOR. NONE OPPOSED. Youth Tennis: This is an 8 week instructional program. Condition of the courts are ok. We need to hire an assistant instructor at $ 5.00 per hour. Tim should be raised to $ 8.00 per hour, Depish to $ 6.00 per hour, director is $ 9.00 per hour for youth, $ 13.00 per hour for eve- ning classes. Two courts are used per hour. There is one teacher/instructor per court. Fees will stay the same. Adult Tennis: We have had two people call concerning the position of adult and high school/program instructor/supervisor/director. Softball: These are pick-up games. They are run on a volunteer basis. The money from this program goes into the Revolving account. $ 25.00 for the summer (May through August). Approximately 20 people. 3 on 3 Basketball: We took in $ 1,400. This money went into the gift account. There is 7 maximum on a team. $ 14.00 per person. Program j, runs June 4 through Mid August. There are 14 teams. Ron Motions to increase this program from $ 100.00 to $ 125.00. Tom seconds the motion. 4:1 John Sustains. VolleyBall: Lorilee needs to get a letter out soon. Commission would like to know what the interest level is. Maybe a league? Commission needs some definite input. What do the people need? Thirty-six have signed up so far. We need more nets. We have the sand. We have the lights, but they need to be hooked up. A notice will be put in the Mansfield News. No fee for this year. Mansfield Youth Basketball: A meeting will be set up for Tuesday, March 28, 1995. Summer Camp: Already 1/3 full. There is a maximum of 165 campers. Pre -registration is required. Commis- sion would like to cut the cost of the Fishing Derby. Maybe we could get one major sponsorship. We will hold on this issue. Community Calendar: A letter went out Friday to approximately 450+ business in Town. We are paying Matryx in three installments of $833.33. There is no contract.
