Betty motions to accept the minutes of October 28, 1996 as written. BOB seconds the mo- tions. ALL IN FAVOR. MYBA AND IN -TOWN - The schools are running out of gym space. We were canceled from the use of QMS on Saturdays from 9am to 4pm from December through April. Helen McCarthy has a call into Players Choice for space on Saturdays. Lorilee would like to write a letter to the School Committee stating her concerns for gym space. The schools are increasing their programs and we, along with others, are being left out. Lorilee sees no solution to this problem except for renting space where available, or building another gym or a field house. MYBA - Helen is doing a great job pulling in volunteers. We don't seem to be getting a strong core group. Lorilee stated that for a lot of people they don't have the time to volunteer. Discussion: Wrestling took over the cafeteria where the color guards were practicing. In turn, the color guards took over the time that METRO was using at QMS. The Commission agreed to have a meeting with Margaret Connaty and Ed Rosa this Monday, November 4, 1996 at 4:00 pm. regarding gym scheduling. The letter should go directly to Margaret, Ed Rosa, Jack Haggerty and the School Committee. Community Calendar: Jim Troy from Matryx came in and discussed the problems we have had with the Calendar. He stated the main problems were the sponsors who committed to the calendar for this year and then backed out at the last minute. We need to start soliciting earlier, and hopefully this year upgrad- ing the smaller sponsorships to bigger sponsorships for next year. He had problems in the proof- ing stages of the calendar and also with the increasing number of calendars being distributed. We started with 6,000 calendars, but ended up with 8,000 which means we required more sponsors to balance the cost of printing. The revenue was $800 less than last year. Jim suggested we hire experience sales people or get in -town organizations to help distribute the calendar. The larger sponsorships would be better than the smaller ones. Betty suggested working with the PAC and having a "Front Cover Contest" for the children and maybe giving the winner some sort of schol- arship. Lorilee stated the calendar has been very successful. She gets calls from people asking when the calendar will be out. The Commission was thinking about charging $1.00 for the cal- endar, but Betty stated that we have to find out if we will lose sponsors because of the fact that we will be selling the calendar rather than giving them away. The Commission would like to ask Nancy Antonucci to help with the Calendar next year. Jim suggested distributing the calendars next year through different organizations. Jim stated in order to get things going we need to start soliciting in December. Ron would like some research done before hand to see what organizations would be willing to get involved in this project. Betty suggesting have PAC do the work, ie distributing them, collecting the money, etc. Ron thinks PAC is the way to go. The Commission has to make a decision by the end of November on if they want to make another go of the Calendar for another year. Jim's costs will remain the same as this year. Commission will get back to Jim Troy on November 18, 1996. Summer Camp: Minimum wage increases next year. We are paying above the minimum salaries now. Arts & Crafts The Mansfield School Food Service will be doing the show. We will receive 50% of the profits. The staff is very excited about participating. The menu looks great. Tree Lighting Ceremony: December I at 4::00 p.m. at the South Common. Lorilee will not be able to attend. Ron will be there taking over for Lorilee. Halloween Parade: The Halloween Parade was a great success. Lorilee estimated 2,000 people attended. Wonderful costumes! NEXT MEETING: The next meeting will be held on November 18, 1996 at the Town Hall at 7:00 p.m. PLEASE BRING THE SUMMER CAMP FINANCIAL INFORMATION TO THIS MEETING.
