1. Committee Meeting Minutes for Approval
Committee went over minutes for October 5, 2017 meeting. Mr. Paquin went over item 5. Mr. Ahern
said it was a RFP. Committee stated the meeting minutes were an accurate representation overall.
Motion: Approve minutes for October 5, 2017 (Paquin/Epstein). Passes 4-0.
2. 10/18/17 Letter to BBBC Regarding Schedule
Mr. Ahern mentioned the November V schedule deadline for BBBC for the DPW mechanics to occupy
that part of the building and how the building was broken down into 2 phases of occupancy. The first
phase being the mechanics section will not happen on November 01 as the schedule states. Mr. Ahern
expressed concerns about BBBC appearing not to take the occupancy dates seriously and not having any
type remediation plan for being behind a couple weeks.
Mr. Cook entered the meeting at 7:23 pm.
Mr. Ahern stressed that there was an October 30th date to complete the building, and he hoped that
we're on path to get DPW in by Thanksgiving, and pull admin closer to early December. Mr. Ahern
mentioned they don't have roof on storage area yet. Mr. Ahern said we're all set for owner items (with
exception of Phoenix and the phone installation company). Mr. Ahern said lift is coming in week of 30th
(two double post lifts). Mr. Ahern said phone people are still on standby. Mr. Ahern, Mr. Annino and Mr.

Paquin said they will come up with their own schedule to see when they get the DPW people in the
building.
3. 10/19/17 Letter to BBBC Regarding COP 047
Mr. Ahern mentioned the letter. Sprinkler wanted additional money to redo the piping under the
mezzanine. Mr. Milani and Mr. Ahern believed that there wasn't extra work and that the sprinkler
contractor has to do the work regardless. BBBC can proceed under protest, but the completion date for
the project has to be maintained.
4. Change Order Proposals
Mr. Ahern mentioned that PCO 28 — Piping for AHU 2, at cost of $6,391, is under review. Mr. Ahern
mentioned suspension of CCD #4, at cost of $2,420, and that it will probably be made into a charge
order. Mr. Ahern said CCD #5 Mezzanine Stairs, at cost of $11,798, had a height issue. Mr. Ahern said
PCO #45 Date Blocks, at cost of $2,204, will probably be another change order due to high labor burden.
Mr. Ahern mentioned that PCO #46 HVAC Power Changes, at cost of $25,556, will be discussed in a
meeting concerning scope issues. Mr. Ahern mentioned PCO #47 Sprinkler, at cost of $13,921, was
already covered.
5. Water Fountain
Mr. Ahern said they have a proposal request for the water fountain, and a change has to be made
(because the prior one hit the boilers). Mr. Ahern said they are eliminating one and adding another one.
6. CMU Wall at Garage Work Bays
Mr. Ahern has asked for price at CMU wall. Mr. Ahern said electric panels got relocated to the first floor
located on I" floor and took up considerable wall space. Committee members believed that this had
already been done. Mr. Ahern stated he wanted to have Mr. Cook look at the area prior to committing
to do the work.
7. Painting Block Filler for CMU Walls in Garage
Mr. Ahern mentioned that this item concerns eliminating painting block filler for CMU walls. Mr. Ahern
mentioned he hasn't got price back yet. Mr. Ahern felt the number will be substantial. Mr. Ahern said
they are trying to start block filler, and that he'll need direction going forward (getting a price).
8. Fire Alarm Box
Mr. Ahern was instructed to not get a new fire alarm box in public safety and to rely on old fire alarm
box that is said to be still functional. Mr. Ahern felt he didn't see an issue getting the fire alarm box to
work with the new system. Mr. Ahern felt they should put a new antenna and cable in. Mr. Ahern
wanted a new PR to eliminate radio box but still supply the antenna/cable brackets.
9. Municipal Complex Sign
Mr. Ahern mentioned naming changes for the sign and how the separate divisions could be incorporated
in the name. The discussion was over whether Municipal Complex should be included or not. Mr. Ahern
considered moving forward with variances for electronic message board.
10. Project Contingencies
Mr. Ahern mentioned prices were not included anymore at the committee's previous request. Mr.
Ahern said he started out with $1.847 million in contingency, and presently, we are at $1.371 million in
contingency based on maximum exposure presently. Mr. Ahern said he has committed $140,000. in

over unexpected costs (i.e. security bids, inspectional services, etc.). Mr. Ahern then went over open
proposal requests and stated that the numbers presented are the maximum exposure presently known
to date and that some items will be dissolved and the contingency will change month to month based on
exposure.
11. Other Comments
Mr. Ahern said the drainage work related to the RAM in phase 2 will begin soon due to changing water
tables.

between.
