HomeMy WebLinkAboutLibrary Trustees 01/06/1996TRUSTEES OF THE MANSFIELD PUBLIC LIBRARY MINUTES OF THE SATURDAY, JANUARY 6, 1996 MAIMb-7 N j 3.:';; . ATTENDANCE: Nancy Breef-Pitz, Chris Cormier Hayes, Vivian Sweet, Leslie Pasch' ABSENT: Linda Lipson, Leonard Epstein (new member, not sworn in yet) GUESTS: Massachusetts Board of Library Commissioners: Robert Hall, Chair Dianne Carty, Head of State Aid and Data Coordinator The January meeting of the Trustees of the Mansfield Public Library was held in the Trustees' Room of the library on January 6, 1996. Nancy called the meeting to order at 8:25 AM. Chris read the secretary's report from the December meeting which was approved with no corrections. The treasurer's report was not presented, as Linda was absent. There was no correspondence to be reported. Leslie highlighted the Librarian's Report for December. There is $1500.00 left over from l >- a town meeting article from 1984 and 1985. Joan Cutillo has approved of the use of these funds for two things: a "problem terminal" will be fixed; and a scanner will be purchased for a new port. OLD BUSINESS Leslie reported on the roof update. Leslie has filed a defective shingle complaint form with Georgia Pacific. It is anticipated that they will reimburse us for the replacement shingles and the labor. Colin and Greg Cauldwell will fix the roof. The minutes are still missing from June and November, 1994 and June, 1995. Nancy will attempt to retrieve Jeff's written notes from those meetings so they can be reconstructed for the record. We voted on the meeting room/piano recital issue. Our recommendation to the Council on Aging trustees is that the non-profit group, the Mansfield Music and Arts Society (MMAS), sponsor any musical recital that is held. This eans that the MAS will reserve the room in ce ""' ' M advance, publicize the event in accordanour guidelines, and ensure the appropriate clean- up and security of the building. This decision is consistent with our existing meeting room guidelines of a "non-profit group -only use". We will meet with the Council on Aging Trustees at their meeting on January 16, 1996 at 7:45 PM to jointly resolve the issue. Leslie presented the budget. All were in agreement with the figures. We will meet with the Finance Committee for their approval on Saturday, January 27, 1996 at 11 AM. Prior to that meeting, Leslie will send us each the packet of information that the Finance Committee will receive. NEW BUSINESS Leslie has written a personnel policy concerning Jury Duty. It was discussed and approved. Leslie highlighted the gifts that were given to the library in December. In order to run a non-networkable CD Rom, Leslie recommends that we purchase a CD - Rom changer. Andrews Computer Systems, INC. has given us a quote of $445.00 for changer and installation. After some discussion, Chris made a motion to approve such purchase and Vivian seconded. It was decided that the reorganization of the board should take place at our February meeting when all members will be present. We decided not to appoint a representative to the Master Plan Advisory Committee. It appears that this committee will guide the actions of the Master Plan Study Committee and it was agreed by all that it was not imperative for a representative from the Library Trustees to attend. The Massachusetts Board of Library Commissioners were introduced and gave us a brief overview of the history of their organization, and the purpose for their visit. They are meeting with Library Trustees across the state in an attempt to establish good working relationships with all libraries, as well as to gain support for the state strategic plan/budget. They urged us as Trustees to correspond with and lobby our legislatures. They offered support to us, particularly in the area of using their statewide data collection of various library practices. This information may be particularly useful as we discuss our 5 -Year Plan. We all agreed that a general library survey should be created and circulated to assist us in addressing the needs of the community in the Plan. Leslie will request various survey forms from Ellen RQMn the Eastern Region and a Trustee sub -committee will be formed at our February meeting to work on the 5 -Year Plan. . The meeting was adjourned at 12:00 PM. The next Library Trustees meeting will be held on Saturday, February 3, 1996 at 8:00 AM. Respectfully submitted, Chris Cormier Hayes
