Nancy called the meeting to order at 8:17 AM. Chris read the secretary's report from the April meeting which was approved with no corrections. Linda presented the treasurer's report from April. Our current balance is $16,853.27. She reported that our CD will be up on June 9, 1996 and recommended that we roll it over for another 90 days. She is currently working on opening up a separate CD account for all Sweet funds. Correspondence included a letter from the Board of Selectmen inviting all Boards, Committees and Commissions to attend an informational seminar on Thursday, May 23 at 7 PM. The workshop is designed for members to learn more about their roles and responsibilities as elected or appointed officials. It was felt that at least one member of our Board should attend. Trustee members will check their calendars for availability. Correspondence also included a memo from Bill Williams reminding all Department Heads about the importance of purchasing goods and services from Mansfield local businesses where justified. Leslie highlighted the librarian's report from April. OLD BUSINESS Leslie received quotes from Mitch Corrigan of Clear Concepts Consultant Corps. on indoor and outdoor surveillance cameras. It was agreed to table a decision about purchasing these cameras until a later time. Problems with destructive and disruptive youth has lessened over the past few months. Leslie obtained two quotes for a CD -Rom Mini Changer. The Board voted (motion by Linda, seconded by Chris), to purchase the 4X NEC 7 -Disk changer from Andrews Computer Systems, Inc. in Mansfield for $530.00. The 5 -Year Plan subcommittee highlighted the results of the survey which had been distributed throughout the month of April. 222 surveys were filled out and returned. The Board ` directed the secretary to let the minutes reflect the overwhelmingly positive comments that the staff received for their helpfulness and their availability, as well as the positive comments that Donald, our janitor, received for the cleanliness of the building. The results of the survey, particularly new services, will be incorporated into the 5 -Year Plan. The next meeting of the subcommittee will be Tuesday, May 28. NEW BUSINESS Leslie informed the Board that Leonard Flynn with the Natural Resources Trust of Mansfield has filed an application to use the meeting room on May 30 at 7 PM. He informed Leslie that he intends to serve wine. After a subsequent discussion with Nancy, his intentions are to attend the next Selectmen's meeting on May 8 and request a temporary liquor license for that date. The Board voted (motion by Vivian, seconded by Linda) to support our current policy prohibiting the use of alcohol in the meeting room. Both the COA and Library Boards will prepare letters to the Selectmen stating this policy. The Chairpersons and Directors from both Boards will attend the Selectmen's meeting. Leslie presented drafts of the revised job descriptions of the staff, including library director. Some suggestions were made by the Board and Leslie will incorporate them into the descriptions. Leslie presented her Goals and Objectives Final Report for 1996. Nancy instructed the Board in the evaluation process. She requested each Board member's evaluation of Leslie be completed by Monday, May 13. The next Trustee meeting will be a joint meeting with the Council on Aging Board of Trustees. We will host it on Saturday, June 8 at 9:30 AM. Leslie reminded us that the Trustee workshop that we will be hosting will be held Monday, May 13 at 7 PM. Leslie reported that there is 15, 210 square feet of land for sale between the library and the corner gas station. The current asking price is $99,900.00. As one of the greatest areas of complaint concerning the library appears to the be lack of parking space, Leslie thought it wise to inform the Board. The Board authorized Leslie to contact Bill Williams and apprise him of the situation and the cost of the land. Leslie reported that C9 Cauldwell sent a quote of $6600.00 to repair the current roof problems. The official complaint to Georgia Pacific has been lodged -- outcome still pending. The most money that we could expect from them would be 13/20 of what is left on our warranty. The Board authorized Leslie to obtain two more quotes for the repair of the roof prior to the joint COA/Library Trustee meeting and the issue will be discussed at that time. The meeting adjourned at 11:30 AM. The next Trustee meeting will be held Saturday, June 8 at 8 AM. Respectfully submitted, Chris Cormier Hayes Secretary, Library Trustees
