Nancy called the meeting to order at 4:13 PM. Chris read the secretary's report from the June meeting which was approved with no corrections. Linda presented the treasurer's report from the end of the fiscal year, 1996. Our current balance is $16,842.68. Leslie highlighted the librarians' reports from June and July. Of particular interest were the following items: o A user survey was conducted about the interest in books -on -compact discs. Response was such that Leslie will begin to purchase a few this month. o Ebsco, a periodical database, (which will eventually take the place of Infotrack) should be available to the public in the next few days. A printer will be available at one of the pacs for use with this database. Dial-up access from the Internet at home is currently available for patrons. OLD BUSINESS Leslie reported on the specs and quotes that she has received thus far for her new microcomputer. Quotes were obtained from Andrews Computer Systems, Gateway 2000, and Automation Concepts and Technologies, Inc. After some discussion, the Board requested Leslie (motion by Leonard, seconded by Vivian) to conduct a further investigation into two of the bids, and either make a decision based on those inquiries, or bring the issue back to the table at next month's meeting. Leslie reported on the skylight in the Children's room. After consultation with various contractors, it is her recommendation that it be removed and patched over. The Board concurred (motion by Vivian, seconded by Chris) to contact a contractor to remove it. They requested her to write a letter to David Young, chairperson for the MBC, stating the problem and our intentions; as well as to write a letter to Bill Williams, requesting town funds for the project. The final draft of the 5 -Year Plan was distributed. After some discussion, the Board voted to approve it (motion by Vivian, seconded by Linda) with minor corrections. Leslie will prepare completed plan for the next meeting. Copy to be sent to town manager at completion. NEW BUSINESS Leslie inquired about the Board's interest in another Trustee fundraiser, i.e., a process of contacting local businesses requesting donations of particular subject -appropriate books for the library's collection. Trustees will begin the project in the Spring of 1997, with a goal of completion for the Fall of 1997. Leslie proposed a correction to the Personnel Policy to reflect the eligibility provisions of the Bristol County Board of Retirement. A motion by Chris, seconded by Vivian, approved such a change. Leslie informed the Board of her intent to move the Mansfield afghan currently hanging near the front check-out desk, to a permanent site on the wall outside her office. The Board suggested that she check with the donor of the plague that currently hangs on that particular wall, as a courtesy, to insure that they have no problem with the moving of their plague to another nearby wall. (Note: at the time of the building of this new library, patrons donating such plagues could request a possible placement of their plague.) Leslie concurred. The Friends will donate the quilt hanger for this purpose. Leslie presented the letter that she had sent David Young, chairperson of the MBC, restating the Board's interest in the possibility of a shared parking lot in between the library and Memorial Park, if such a project were reconsidered in the future. Leslie reported that the Town will provide the funds for Leslie to purchase postage stamps for overdue notices. This will replace the current process of a daily trip to Town Hall to meter and send out each notice. Leslie informed the Board that her salary does not match the negotiated salary as written in the schedule of the Supervisory Bargaining Unit of the AFL -CIO -CLC Local 16031. Leslie immediately reported this to the Board upon her realization of the fact. The Board suggested that she write a letter of explanation for her personnel file. See attached letter of explanation, and attachments. The meeting adjourned at 6:25 PM. The next Board meeting is scheduled for Saturday, September 7 at 8:00 AM. Respectfully submitted, Chris Cormier Hayes, Secretary
