Ltr. to MBC from Dawn Florence, Kitchen Services Director re: Additional revisions to
kitchen equipment plans for Robinson School and QMS.
QUALTERS MIDDLE SCHOOL
Kitchen Equipment — Ms. Florence presented additional modifications to the kitchen
equipment plan at Robinson and QMS for consideration. Ms. Florence noted that the
current kitchen service program at Robinson was modified in Sept. 1998, based on the
equipment available in the Fall. Since the food program has been working fine, some of
the previous changes requested are no longer necessary. Bob Gurek, commented that the
School Dept. has reviewed the additional revisions and supports the kitchen requests
being made by Ms. Florence.
Candy Stove — Ms. Florence commented that the existing candy stove at the Robinson
School is no longer needed. It was recommended by the MBC that the existing two
burner candy stove at Robinson be turned over to the School Department as surplus.
Condiment Stands — Ms. Florence requested a deletion of (2) mobile condiment
stands specified in the contract for QMS. Ms. Florence commented that the
additional cost of $1,040.00 to add a back panel to each stand seemed very high.
Condiment Tables — Ms. Florence requested that (2) sturdy tables be added to the list
of school furnishings for QMS to be used for condiments in the cafeteria. The School
Dept. indicated to the MBC that they have decided to coordinate the purchase of
school furnishings for QMS themselves rather than use an outside consultant. Ms.
Florence will follow up with them re: purchase of the tables to be used for cafeteria.
• Cashier Stands/OMS — (2) Cashier stands will remain deleted as previously discussed.
Ms. Florence and Mr. Parker are investigating the purchase of a less expensive model.
The Committee agreed that the purchase of (2) less expensive cashier stands would be
paid out of the School construction budget.
• 6 Burner Range/Robinson —Request was made to leave the existing six burner
kitchen range at Robinson, in lieu of purchasing a convection oven.
6 Burner Range/QMS — A request was made by Ms. Florence to purchase (1) new six
burner range for the Qualters Middle School. Ms Florence clarified that instead of
moving a range for installation at QMS, we would be buying a new range for the
contractor to install. Richard Feeley expressed concern that the new stove may
require rough -in changes. Ms. Florence responded that the range spec included in the
contract documents was used to send to vendors for quotes. The rough -in is expected
to be the same. Mr. Feeley requested that we obtain a cut sheet from the
manufacturer (Vulcan) to ensure correct rough -in. The School Dept. will move
forward with the purchase of a 6 burner stove and arrange delivery to installation site
(QMS). The range is to be installed by the Contractor.
Credit due to Town - Ms. Florence commented that J.T. Callahan owns installation
of a range by contract, therefore a credit should be due to the Town of Mansfield for
the unnecessary oven move owned by Jacob Litch from Robinson to QMS. A credit
would also be due from Jacob Litch for the deletion of (2) condiment stands and (2)
and cashier stands. Dan Freeman will instruct Jacob Litch to provide all credits due.
MOTION was made by Jim Liddick to incorporate the revised kitchen changes at
QMS as requested by the School Department, pending written approval by the
confirmation from School Dept. and Kitchen Services Director.
Summary of the approved changes as agreed to by the School Dept., Kitchen Serv.
Dept. and MBC include the following:
• Leave existing 6 burner range at Robinson Elementary in lieu of purchasing a
convection oven.
• Direct Walter Parker to secure the purchase of (1) new Vulcan GH56 Heavy
duty gas range for delivery at Qualters Middle School.
• Delete condiment stands including original spec and all subsequent references to
condiment stands from QMS. (Condiment tables to be ordered by the School
Dept. as part of School Furnishings).
• Delete cashier stands —Delete (2) cashier stands as previously requested. Upon
the selection of less expensive cashier stands by the School Dept., the MBC
agrees to cover the cost incurred from the QMS School Construction budget.
• Installation of 1" gas connection and necessary services to install new Vulcan
GH56 range to be provided by J.T. Callahan.
• Existing 2 burner (candy stove) to be given to the Mansfield School Dept. as
surplus.
JL/KG Passes 5-0
OMS School Furnishings — Referring to the long lead time for school furnishings at the
Robinson School, David Young suggested that the MBC send a memo to the School
Department recommending that they begin preparing a needs list for school furnishings
now to ensure fall deliveries.
Data Cabling — Discussion opened re: a memo from Walter Parker expressing the need of
one additional wiring closet for data cabling at QMS. Storage room A208 was suggested
as possible use. Chris Sullivan will follow up. Jim Liddick requested that Mr. Parker
confirm details relating to the necessary power required. Rich Feeley reminded School
Dept. that the ceiling would be going back up. Walter Parker responded that having
ceilings up was not a problem, much of the work to the existing building will be surface
mounted.
Electrical - Chris Sullivan commented that the electrical work is now being done in the
new addition. Ms. Sullivan indicated to Walter Parker that cable could move forward in
this area with their work as well. Jim Liddick suggested that MBC to send memo to
Moretti re: Status of selecting a vendor to install data cable and designated point person
to coordinate cabling.
Site Inspections — Chris Sullivan reported that some Town Inspectors have been on site
visiting and/or performing inspections without her knowledge. To maintain good
communication re: the QMS Project, it was suggested that Chris Sullivan send a memo to
Dave Conley, requesting that inspectors check in at the job site trailer when on site. Jim
Liddick questioned whether JTC has a visitors book to sign. David Young suggested
that MBC send a letter to J.T. Callahan indicating who is permitted on site and that a log
book of all visitors should be maintained.
SBAB Request - Keyes Associates was requested by the School Dept. to send a letter to
SBAB indicating any substantial changes to the School Projects. Dan Freeman will
prepare a cover letter and coordinate with MBC to send complete set of plans and specs
for QMS and MHS Projects. Dan Freeman confirmed with the MBC that the value of
school projects increased in December 1998 from $23.8 to $30.8 mil. with the $7.0
million referendum vote by Town Meeting.
Order of Conditions — Chris Sullivan opened discussion re: order of conditions to clean
swale. David Young suggested that the MBC send a letter to Town Manager, School
Dept., Conservation re: the town performing work to clean the swale as was previously
agreed.
Steel - Chris Sullivan reported that the steel columns outside the cafeteria could not be
installed while school is in session due to a safety issue. Equipment was being used very
close to cafeteria walls. The contractor has agreed to perform steel work on Saturday.
Seismic sketches needed — Chris Sullivan commented that she is waiting for answers re:
required work to auditorium.
Caulking — MBC discussed a letter regarding asbestos containing material around
windows. Universal found the caulking around windows to be in good condition. It was
recommended by Universal Engineering for SMI to leave the caulking in place. Dan
Freeman to follow up with a credit request from Suburban Middlesex Insulation (SMI).
Water coolers — Ken Gay had previously asked Dan Freeman re: trim planned around
bubblers. Chris Sullivan noted that she is following up on the issue.
Windows/Glass Block — Re: removal responsibilities. Chris Sullivan noted to the
Committee that the General Contractor owns removing the glass block by contract and
SMI owns removal of windows. Chris Sullivan reported that the glass block has been
removed by SMI not J.T.Callahan, therefore, J.T. Callahan will owe credit to Town.
Site li hting —Discussion opened that there appears to be insufficient lighting currently
in the bus loop area. Issue to be addressed with Jim May, Wallace Floyd.
Claim for Winter Conditions — David Young questioned the status of J.T. Callahan's
cause for claim. Rich Feeley commented that the premise for J.T. Callahan's claim is
that if the foundation was completed by Dec. Ist then tenting or heating costs would not
have been incurred. The project is on schedule at the time.
Schedule — Ken Gay questioned whether construction photos should be submitted with
schedule. Construction photos are not part of the QMS contract documents. The
Committee suggested that the Project Coordinator take pictures periodically.
Application for payment #7 - Application for Payment to J.T. Callahan was withdrawn
due to error in submission.
Air Quality — Chris Sullivan reported that the mechanical crew on site, raised an issue re.
severe mold found in crawl space. Issue pending further investigation.
Change Orders — The following Change Order Proposals were reviewed for approval by
the MBC as submitted by Keyes Associates:
