Board of Trustees Meeting - June 27, 2017
Attendance: Nancy Breef-Pilz, Marianne Mackie, Leonard Epstein and Director Catherine
Coyne. Nancy convened the meeting at 4:05 p.m.
OLD BUSINESS
Summer schedule and staffing. Catherine reported that staffing and schedule issues have
been resolved. The library now has two subs who are working out well.
Staff time records. The board reviewed the library's system for recording employees'
attendance and time.
RFID checkout and security system. A telephone conference has been scheduled for
Thursday for instruction on setting up the tagging operation. Preparations for the transition to RFID
will include aggressive weeding over the summer. Sails will loan the library three laptops and four
scanners for tagging. Catherine has not yet initiated pre -tagging of new purchases from Ingram.
The tentative schedule is to close the library September 18-22. The staff and volunteers will work at
tagging as much of the collection as possible, then re -opening on Saturday, September 23.
Catherine has been working with Mike Ahern to plan installation of the electronic gates.
Sails has recommended a vendor familiar with the process. Data ports will be needed so there will
be some extra expense for wiring.
Teen area. The board reviewed photos showing the layout of furniture with carpeting.
Catherine is reconsidering her initial recommendation of acrylic magazine holders. It may be
possible to continue using the current system which would save $3,000. Funds are available in gift
accounts for additional computers to be attached to tables in the area.
Five year plan. Catherine reported significant progress, anticipating a working draft in
about two weeks, well in advance of the October 1 due date. The introduction has been written and
she is working on the substance of the remaining four categories: the collection, staff, programming
and facilities.
Goals update. Catherine will provide monthly updates in July and August.
NEW BUSINESS
Barbara Sheffield retirement. Catherine will start inquiries with the staff around the end
of August to replace Barbara as head of circulation when she retires on October 11.
Next meeting. September 99, 2017. The meeting was adjourned at 5:05 p.m.
