OFFICE Meeting Agenda & Minutes August 7, 2013 7:30 pm @ 11 Old North Trdil US i i Absent: Brian, Jason, Patricia Welcome & Administration: 7:30-7:45 1. Call to order 2. Review & approve minutes from previous meeting Beautification & Community Greening: 7:45-8:15 3. Downtown Flower Barrels (Pat & Nancy) Looks like someone stole some flowers from Mansfield Bank. We spent $196 to replace flowers this year. September 21 or 28 are potential target dates for planting the mums. Pat to confirm. We still need to spend an additional $700 for mums. 4. Adopt a Spot (Pat) 3 new spots this year: Mansfield Green, spot under the sign on Mansfield East Common. Spot next to senior center on Park Street. Should list Paul D's name on the website for his donation of AAS signs. The spot near train station parking lot needs work. All other signs have been replaced. We will send a thank you note from the committee to the new AAS participants. 5. Mural Update (Nancy) Agreed to put donors' names on the panels that will be placed on North Common, rather than on the wall itself. Target date for completion is end of October. About $30k has been raised (includes about $5k in-kind donations). 6. We Noticed nomination for September (all) Potential awardees include Sherman Jackson funeral home, the area in front of Dubs's liquors, and the Dunkin Donuts at North Main and West St. Will vote at September meeting. Route 106 embankment (Neil) We reviewed the plans from Guerrini and Fine Landscaping. Guerrini's cost is $12,900 vs. $26,000 for Fine. For that reason, as well as plant choices, we are recommending Guerrini's plan. But first we need answers to these questions: will the daylilies bloom all year and are there different types? Will rain wash out the mulch? Will the junipers need to be trimmed? Are they spaced for maturity? How big do they get? Any weed guard? Do we need to get three bids before we can move ahead (ask Lee Azinheira). Once we have answers, we will present to the BOS and ask the town to foot half the bill. 8. Downtown weeds. Let's develop a plan for next summer to ensure that downtown streets and beds remain weeded. Take photos to show to BOS at annual presentation. Litter Prevention and Cleanup 8:15-8:30 9. Litter Busters SWAT team July & September. Next litter busters date moved to September 14, Jason to coordinate. Administration: 8:30-9:00 10. Treasurer's report (Mike) We have $9238.70, with $1,000 still coming in from Samsonite. Upcoming expenses include $150 for annual dues, $360 for flower barrels, plus $700 for mums in fall. If we spend $6,450 for route 106 embankment, we will still have about $2,000 in the bank. 11. 2013 fundraising update (have all promised checks arrived?) Still pending Samsonite. 12. Non-profit gift fund grant. Meeting on 8/9 to see if we get the grant for the library sign. Communications & PR (Neil) 13. Family Fun Night review. We made $122 off tee shirts.
