KEEP MANSFIELD BEAUTIFUL
Welcome & Call to Order: 7:00 (Nancy)
Motion to accept minutes from previous meeting
• Minutes accepted.
Treasurer's report 7:10 (Mike)
• $11,039.44 in account.
• $2375.00 for Cleanup ($1000 from Mansfield Bank).
• Ahead of last year in terms of fundraising for Cleanup.
Clean-up 7.15
Banner, WM, DPW —Nancy
• Banner will be hung on Route 106 for 2 weeks.
• Nancy checking with DPW for trash bags and Xfinity for recycle bags.
Fundraising, PR, Communications—Neil
• Letters went out and fundraising is going well (see above under treasurer's report).
• Still waiting for $1000 from Samsonite (for last year).
• Discussed taking pictures at the event. Last year, Brian asked people if they would sign a
waiver before taking their picture. This seemed effective and will most likely be done again
this year. The approach will be finalized at the next meeting.
• The Cleanup was in the Mansfield News last week. Information about the Cleanup will also
go into the Community Notes section.
• Information about the Cleanup is on Cable Access.
• E -newsletter will be going out this week.
Litter Index Results -Mike
• The litter index event is on March 19°1 at 8:00. Mike, Neil, Nancy, Jason, and Erik will be
attending.
Sign-ups, Community/school groups — Pat
Pat has sent out emails to all community groups.
Many people have responded stating they are forming their groups and will be signing up
online.
Tee shirts — Jeff
Jeff is looking at esp. and Inked as possible vendors. Esp. is favored as we have successfully
used them in the past and they already have layoutidesign of the tee shirts. However, Inked is
local and might offer a better price.
Amount of tee shirts and sizes will be given to Jeff on April 7s'. This will be based on the
sizes that people have currently requested online plus a padding factor to accommodate late
signups. Last year we ordered 400 tee shirts and expecting to order the same amount this
year.
Precinct captains, business volunteers — Erik
• Erik has reached out to all previous Precinct Captains. All will return again this year!
• Erik, Neil, and Pat had a meeting to review the Cleanup procedures and use/maintenance of
the Excel Spreadsheets for online registration and precinct assignments.
Flyers for school and town — Martha, Nancy Neil
• The flyers are available. Martha, Nancy, and Neil will be distributing. Pat took some for
Saint Mary's Catholic School.
Picnic -Neil
• Theresa will be planning and implementing the picnic again this year. There is a new general
manager, but Neil doesn't expect any problems reserving the VIP tent again this year.
Grabbers - Neil
Looking into grabbers to make them available for businesses/organizations when they contact
us to perform litter cleanup. Looking into ordering 60 grabbers so we can provide 10
grabbers per precinct for the Cleanup. Neil will look into the best price/amount and order
accordingly.
Discussed possible way to keep track of the grabbers, such as signing out, numbering them,
etc. This is still under discussion and will be finalized at next meeting.
Committee Responsibilities (Continued) (7:35) Everyone
Existing Programs
Pole barrels — Nancy, Martha
$1700 in grant money is left over. $500 will be spent on 5 more pole barrels. More pole
barrels can be ordered with the remaining money.
Adopt a Spot - Martha
• Martha sent out an email to previous participants asking if they are interested in continuing
their site this year. Martha will report on responses next month.
Painted barrels—Nancy, Pat
We will not provide a full painted barrel program this year due to other
commitments/obligations. Instead, we will provide barrels on an as -requested basis. We
already have one person, Heather Coogan, who is interested in painting a barrel for her
Mansfield Connections business which services adults with disabilities. Pat sent DPW an
email requesting 5 barrels be primed and ready. Pat will use one of these for Family Fun
Night.
Nancy and Pat need to do an inventory of all the painted barrels. It looks like DPW has
already started to place the barrels throughout town.
New Programs
Brochure — Neil, Pat
Neil has two interns who will be working on the text for the brochure. Pat will contact Karen
Reardon to get a price for her doing the design/layout of the brochure. The brochure will be
the standard 6 page brochure.
Pat will write the Non -Profit Gift Fund Grant proposal requesting money for the cost of the
design and printing of the 1000 brochures. We will have the brochures printed at Allegra.
These brochures will be distributed at the picnic, town hall, and Family Fun Night.
KMB banner—Nancy, Pat
Pat will write the Non -Profit Gift Fund Grant to request two new banners. One banner will
replace the existing Cleanup banner which is getting old. The second banner will be used for
Family Fun Night and other events that publicize our mission and committee.
Since esp. is the company we have successfully dealt with in the past for tee shirts, we will
investigate whether or not they also produce banners. If not, Nancy has some contacts we
will pursue.
E -newsletter and Constant Contact -Neil
Neil has been sending out our e -newsletter through his business Constant Contact account.
He is changing his company account so we need to establish our own account. The cost is
$250 a year, with a possible non-profit discount and an additional 30% discount if we sign up
by March 31'
Mike found a service online that is free, but Neil has learned the Constant Contact software
and is very comfortable with it. We agreed to pay this fee and go forward with Constant
Contact. Mike will do some investigation on this other company for possible future use.
Neil also took this opportunity to let us know about a new software product called Classy that
he is investigating for Keep Massachusetts Beautiful. This product incorporates
communication, fundraising, and event planning. More information will be available as Neil
continues to investigate this program.
On/Off ramps — Jason
• Jason got in contact with Mass Dot to discuss having inmates do the on/off ramps from Route
95 into Mansfield. They do not offer a scheduled cleanup as we had hoped. They have an ad
hoc schedule. We are currently on the list, but not sure when it will be cleaned up. Jason will
follow up with them again to get some indication when it will be done.
Adopt -a -Highway —Neil
Neil would like to pursue this program. It involves recruiting local companies to adopt a
certain part of a highway. The company then hires and pays a private cleaning company to
come out on a certain schedule to clean up the litter. Ideally we would like this program to
include Route 95, Route 140, Route 106, and the on/off ramps. This commitment and
scheduled cleanups is exactly what we want versus the ad hoc cleanup done by the
state/inmates.
Trees on 140 — Erik
Erik has done some preliminary investigation into this program. He has gotten in touch with
district 5 from Taunton. He needs to provide additional information on the exact location and
extent of this program. He will provide an aerial map of the area.
This is a huge project which will need to be funded through a large grant. It needs to be
implemented in stages. It is essential that this plan incorporate the appropriate low
maintenance trees and all the associated maintenance.
Mural - Nancy
• The bubbles in the mural are going to be popped, scraped, and primed. Ian will then paint
over the areas. The cause of the bubbles is unknown.
• Nancy has money for two keys that will be located at the North Common.
Update on:
School Recycling — Neil
• Neil visited every 61h grade science class in the middle school. It was very successful!
Keep Mass Beautiful Neil
• Neil continues to make huge progress on Keep Massachusetts Beautiful. There are 30
cleanups scheduled throughout the state.
• Neil did a PSA in Plymouth for the Great Massachusetts Cleanup. It has been uploaded onto
the statewide server for local cable access TV stations! Neil forwarded all the committee
members information about this PSA.
• Neil also gave us the latest information about the Bottle Bill.
