The new funds must be spent by 30 June 2024. **Note 2: Muir Ial Account: $1,717.36 remains in the original account set up when mural was commissioned. ' Since the mural is 10 years -old, an assessment of its current condition and possible restoration activity is needed. Kristy Brooks met with Kelly Goff, Wheaton College art professor, who consulted on the mural's condition and restoration needs. Kristy Brooks is following up to locate a restoration artist. Martha O'Connell requested an item for the project be added to Downtown Advisory Committee agenda. "'Note 3: In early October, the outstanding Nip Bottle Stipend Fund check from Bristol Liquors was received and deposited. Additional vendor checks for $150.00 were received in late October and are reflected in financials for November 2023. Guest Discussion Nancy Roth from West Mansfield joined the meeting as she is interested in KMB clean-up efforts and recently' joined the Adopt -a -Street program. Nancy made the committee aware of some West Mansfield street locations' that are litter trouble spots. A few sights mentioned include: Sweets Pond, Elm Street over the bridge and near the Otis Street intersection and West Mansfield baseball fields. Nancy also mentioned an increase in number of nips she noticed in the area. Committee members agreed that although the amount of general litter has visibly Minutes 21 November 2023 21N decreased in town, nip disposal is still problematic. Nancy was made aware of the nip stipend funds that KMB receives from the liquor stores in Mansfield. The committee also provided Nancy with some background for our on -going KMB programs and initiatives. Fundraisina 1. Fundraisine Letter The KMB annual fundraising letters for 2023 were mailed out to an updated list of potential donors on 17 March 2023. Donations from the 2023 KMB annual fundraising letter fell short of expectations, likely due to the state of the 2023 economy and the solicitation of donations for the town's annual Fall Festival. The fundraising letter needs updates. Ana Newell created a spreadsheet for 2023 on the Google drive to track' the donation amounts and sponsors. No new donations were received after the 2023 Spring Cleanup event. The old donor list needs to be revised to target potential donors. Suggestion was made to split the list up if personal notes are to be included. Jeff Ward wants the committee to send out the 2024 fundraising letters by end of January. Committee members will discuss possible next steps for the fundraising letter at the December meeting as it takes 10- 15 committee member resource hours to get the letter out. 2. Grant Program Opportunities No new activity at this time. Michael McCarthy Memorial "Thank You" notes for donations made to KMB's Michael McCarthy Memorial Fund may still need to be sent to the donors. We have the list of donors with address info. Suggestion was previously made to draft the text for the note and potentially send via email correspondence. Follow-up needed with Ana Newell to determine any committee action still required. Ont?oing Programs Fall Litter Sweep The dates for the 2023 fall litter cleanup were November 1-12 2023. Pat Colbert did a great job coordinating the cleanup activities with the Precinct Captains. Precincts 4 &6 both had solid volunteer turnouts. The amount of trash collected was noticeably smaller than in past clean-ups. Samsonite Corporation did a volunteer corporate event cleanup of Rte. 140 under the direction of Neil Rhein., , Janice Wivagg coordinated a separate corporate cleanup at the Mansfield train station with Iconics Inc. They also sponsored a 2nd volunteer group cleanup effort on the section of Copeland Drive near Dollar General and Wendy's. Medtronic participated in the event by cleaning all the major sheets in the Cabot Business Park as well as a portion of Rte. 106. Danielle Dupre has a key to the Fruit Street storage facility. Precinct Captains should get all leftover supplies to Danielle. There is likely a need for a grabber order for the spring cleanup event as many volunteers do not return the grabber. An idea was floated — "Sign up for Adopt -a -Street and keep your grabber." Neil Rhein also sidggested the s 21 November 2023 Page 3 KMB Meeting Minutes 21 November '2023 Jeff Ward wiil send a message to Kelly Kemp asking for a "volunteerthank you" post on social media: Neil Rhein suggested a special thank you to volunteers be included in the next Newsletter: Neil will coordinate with Kelly on posts and newsletter content. " Neil also suggested the consideration of a new future AaS site at Court Street and Old Colony near the beginning of the bike path. The bike path extension is almost complete. The 5 mile path should draw more biking enthusiasts. Public art along the updated path would be a nice aesthetic. Neil mentioned the Clipper City Rail Trail as a great example of what could be done to foster public art along the Mansfield site. Adopt -a -Street At a prior meeting, the committee revisited the need to fix an issue with the program's link on the town's website which was not working properly. Danielle Dupre worked with Chris Linko to fix the street map functionality. The program is not using state of the art tech, but the adjustments made will help to identify; streets on the map that are assigned and those that are available for adoption. Reaching out to existing known volunteers via email and determining those who are still active in the program is one way to ensure the accuracy of any on-line street map updates. Danielle plans to work with Kelly Kemp to get future volunteers into the system using a manual form. There are several additional tweaks required to provide for date -time stamp functionality. Neil Rhein also suggested the need for a backend db for tracking purposes. KMB Mtg. Minutes 21 November 2023 Page 5 KMB Meeting Minutes 21 November2023 Danielle is hoping to work on a plan for facilitating program updates and utilizing various methods for,,, contacting the program's volunteers to keep them involved. Neil suggested using a newsletter format that specifically focuses on this KMB program to help engage participants. Additional Proiects/ Initiatives Ado t-a- . wav No new activities planned. Suggestion was made to provide corporate volunteer organizations with a KMB watering can to display. Pat Colbert indicated that Karen Reardon who designed the seal for the Flower Barrel program's cans could design a seal for the corporate sponsors who participate in this program. The committee revisited the suggestion made to solicit final nominations for this season from social media. --- Four nominations were made at FFN in July and on KMB website: Chase Bank, The Country Store, Jimmy's' Pub and Canaan Fuel. Decision was made to have KMB make final decision for award. Mansfield Meadows and Rush Bowls were also suggested as possible candidates. Decision to be made by the committee at next month's meeting. Need a photo and a certificate made. Presentation award date is TBD. Litter Busters No planned activities until 2024. Suggestion was made to target some of the areas in West Mansfield identified by Nancy Roth. On-line Social Media Strateev for Donor Event Sponsors No immediate action taken on this item to date. At the September meeting, a suggestion was made to post photos of the donors who contributed to/sponsored KMB events (Stop & Shop, Jennerations and The Red Dog Inn) with the "Big Check" that was made, by Allegra on social media. Need to schedule these photo cps in the not too distant future. There is an opportunity to combine the photos in the 2024 KMB Fundraising Letter. We also need draft "Thank You" letters for the donors. Jeff Ward will compose email "Thank You" draft. Mural Maintenance Kristy Brooks met with Ian Gaudreau to discuss restoration of the town mural on Rte. 106. Kristy learned to cost of the original mural was approx. $30K. She will meet with Ian again to get an estimated cost of the restoration. Neil Rhein suggested looking into the group of muralists from the city of Pittsfield, MA We should get restoration estimates from several sources if possible. The project needs to be brought to the town for approval and assistancewith fundraising.
