Board of Trustees Meeting [virtual] - May 6, 2021
Attendance: Nancy Breef-Pilz, Marianne Mackie, Jean Mallon, Leonard Epstein and
Director Catherine Coyne. Mansfield Cable did not broadcast the meeting. Nancy convened the
meeting at 4:32 p.m. and proceeded to read Gov. Baker's order suspending certain provisions of the
Massachusetts Open Meeting Law. Instructions for participating in real time and/or sending
subsequent questions are on the Town's web site. She then called the roll with all members present
except Jennifer Hill who had a family emergency.
Secretary's report. The report for April was reviewed and unanimously approved.
Treasurer's report. The report for April was reviewed and unanimously approved.
Correspondence. None.
Librarians reports. The librarians' reports were reviewed and highlights discussed.
OLD BUSINESS
Library vacancies update. Catherine reported on staffing issues as covered in her monthly
report.
Annual Director's evaluation. As previously discussed, each trustee should submit an
evaluation to a designated person, in this case Nancy, to consolidate and prepare a final product,
technically due June 30. Presentation of the final evaluation must be in an open meeting, and may
be in summary form. The board agreed to proceed, with Catherine re -sending her progress report
and Nancy re -sending the form used by several libraries.
NEW BUSINESS
Budget. Catherine will re -send the budget for FY2022. There was an initial meeting with
the Town Manager but she hasn't yet been asked to make any reductions. Town Meeting will be
May 24 at the Xfinity Center.
Approval of job descriptions. The board reviewed the proposed updated job descriptions
and, on motion seconded and approved:
Library Technician, Children's and Circulation Departments
Senior Library Technician, Circulation Services Supervisor
Senior Library Technician, Head of Technical Services
Library Technician, Technical Services

Summer meetings. The board discussed the possibility of a weekly report from the director
in the absence of board meetings and/or the possibility of meeting at least once during the summer.
Next meeting. June 3, 2021. Upon a unanimously approved motion the meeting was
adjourned at 5:33 p.m.
