The meeting was called to order at 4:32 p.m. Attendance was taken via roll call. Secretary's Report: The Minutes of the September 3, 2020, meeting were reviewed. Motion was made by Nancy to approve the Minutes; seconded by Jennifer. Motion was unanimous via roll call vote. Treasurer's Report: The Treasurer's report for September was reviewed. The total amount for the summer programs was slightly higher than was earlier approved by the Trustees. A Motion made by Jean to amend the amount for the summer program from $600 to $632 seconded by Nancy. Motion was unanimous via roll call vote. Librarians' Reports: To date, the library has been open to patrons for a total of 4 days with limited hours. Many patrons voiced their enthusiasm for being able to come into the library, see the staff, and browse. Whitney's work on formatting and updating the website was positively noted. Old Business Staff Handbook —The Town has not completed a new staff handbook. It was suggested that Trustees and Catherine review the 1999 Library Handbook and develop a list of the areas that are in need of updating. New Business Job Descriptions —Catherine received the go-ahead to hire for the vacant positions; that is, one part-time Library Technician who will be shared by the Children's and Circulation Departments, one Library Page, Floating, and one Library Page, Adult Department. Human Resources personnel advised that the Trustees needed to approve the Job Descriptions. It was recommended that Catherine work with Human Resources personnel to standardize the wording of the job descriptions. A suggestion was made to use the format of the Library Page Job Description for the Library Technician Job Description. Ambassadors Program —The Ambassadors Program is going well. Catherine and her staff are very pleased to have the Ambassadors greeting and screening patrons. One trustee commented on her seamless entry into the building and the wonderful management of the Children's room. Re -opening Update —Catherine would like to expand hours for patrons starting the week of October 19. To accomplish this, she will need to secure more hours from the Ambassadors. Town Hall personnel are working on training more Ambassadors to cover the additional days and hours. A discussion ensued about the possibility of Saturday custodial coverage. A suggestion was made to alter the proposed hours to Monday through Thursday from 10-6; Friday from 10 to 1. Since the building would be cleaned from 1 to 2 each day and prior to opening each morning, this plan would make sure that staff and patrons would be able to work in a safe environment on Saturday and all other days. Saturday would be reserved for curbside pickup. Curbside would also be extended on as -needed basis for patrons with health issues. In addition, computer usage will be offered to patrons for 30-minute time slots. Appointments would be staggered so computers could be cleaned between users. COVID Cares Funds —Catherine was able to access COVID Cares funds to purchase a self - check out for the Children's Room, a studio media production kit for filming high quality video programs, a ring light for filming, touch screen wipes, a hand sanitizer dispenser, additional access to E-books, and a tablet station. Adjournment: A motion was made by Jean to adjourn the meeting at 5:30; seconded by Jenn. Motion unanimous via roll call vote. The next meeting is scheduled for Thursday, November 12, 2020, at 4:30 p.m. Respectfully submitted, Jean Mallon, Library Trustee Approved at the November 12, 2020 Meeting.
